Omniscope Publishing: reaching multiple viewers with a single license

Omniscope EVO Team/ Business licensing offers a flexible and cost-effective pricing model to enable access to data management tools to multiple users in your organisation. There is no need to purchase software for the individual named users or dedicated viewers. 

This central installation grants access to data transformation, exploration and analytics to any number of authenticated users, subject to the selected server concurrency limit. It also enables installation-free project collaboration and report sharing. No file exchange needed - reports are hosted on a shared location. Analysts/ creators and viewers can connect from any mobile device to access the data toolbox and the reports.


In a scenario where a small number of analysts is creating reports for a large audience, in need of viewer access to the ready-made interactive reports, we have another solution - Evo Enterprise.



Setting up your Evo Team or Business license to work as publisher


Ensure Omniscope EVO Team / Busines license is installed in a single location and is set up for multiple user access


Create user groups in the Admin section of the app: usually a mix of analysts and those who are allowed to (just) view or make edits/corrections to the charts and the underlying data. In the Admin application each project folder can have different audience, creating a variation in user access and user experience. Two users can for example access the same folder, but only one can edit the workflow, visualisations, or edit the data. This experience is determined by their user group.


Folder permissioning is managed centrally by the admin user, who will create groups (e.g. 'Anonymous user', 'Analytics team', 'Management', 'Client A', 'Client X') and allocate relevant permissions to access and edit projects.


Viewers are one type of the user group and their login will determine that their experience is limited to data exploration and interaction with the dashboards via filtering and selection. They also might be allowed to export the chart data. Export view data is enabled on a Report level > Report Settings > Share options.


Convenient thing about all this is that the viewers are obtaining fast and seamless access to the reports on any mobile device (just click on a link - no downloads!), while their access authentication and user experience are managed in a safe way by the report creators.


Configuration: Fastest way to configure the Viewer Group is to click on the 'No To All' permissions button, then allow 'Shared Report Viewer' permission. You also may add to this 'List directory' (to enable access to a folder with list of reports inside) and 'Access static resource' (to permit the viewer to access other file formats saved inside the same folder with Omniscope project e.g. csv files or images).

You can also configure viewers' access using the Report Settings > Share options. If you are sharing reports in this way, simply untick "Can edit report" and "Can edit data" boxes.


For the user to be counted as a Viewer you must ensure they do not have edit permission to either edit the report or data. Ability to export data is still allowed and they will still be considered as Viewer, rather than counted towards your (N) concurrent editor users.


Note - Number of potential viewers (in the 'Unlimited viewer' model) is not limited by the Omniscope application, however it could be affected by the capacity of the machine on which Omniscope is installed.
